How Attendance Confirmation Triggers Payment

Understand how confirming attendance starts the payment process.

Attendance confirmation is the trigger for payment in ClassCover. Relief teachers are only paid once your school confirms attendance and records the actual hours worked.

Audience: School Users

Attendance confirmation is the payment trigger

A relief teacher member is only paid when:

  • Attendance is marked as Confirmed, and

  • The actual hours worked are recorded

Until attendance is confirmed, the booking:

  • Remains unpaid

  • Is not submitted for payment processing

  • Stays in the Pending tab

There is no automatic payment without school confirmation.

What happens when you confirm attendance

When you click Confirm attendance:

  • The actual hours worked are recorded

  • The booking is submitted for payment processing

  • The booking is locked and can no longer be edited

Payment is based on the hours entered at confirmation, not the originally booked hours.

What happens if you do not confirm attendance

If attendance is not confirmed:

  • A Booking Summary email is sent around 2pm as a reminder

  • A follow-up email is sent the next morning

  • The booking remains open and unpaid until action is taken

What happens if you mark a No Show

If the relief teacher did not attend:

  • Select No show instead of confirming attendance

  • The booking is recorded as a No show

  • The booking is not submitted for payment

  • The relief staff member is not paid

Multi-day bookings

  • Attendance must be confirmed separately for each day

  • Payment is processed per confirmed day

  • Unconfirmed days remain in the Pending tab and are not paid

Tip

Always double-check booking details and hours before confirming attendance to avoid delays or corrections.

Note

  • Attendance must not be confirmed until all booking details are correct.

  • Once confirmed, the booking is locked and can only be amended by contacting the Queensland Department of Education support team.

  • Ensure hours are accurate before clicking Confirm attendance.

  • Confirming attendance ensures accurate payroll and reporting.

  • Payment processing is submitted at 4.30pm each day.
